Organize the Year for Your CPA From the Records Operations Already Created
Year-end becomes harder when sales, purchases, inventory, expenses, receivables, payables and supporting documents have to be reconstructed after the fact.
SLAKPI organizes the operational and financial information already created by a U.S. fresh produce business into an accounting-preparation workspace built around the company's fiscal year.
The result is a structured path from operating records to period context, supporting detail and an Accounting Package that can be reviewed by the company's external CPA.
Organize operational information around the fiscal year
The Accounting workspace provides Fiscal Year, Quarter and Month views using the company's fiscal-year configuration.
The selected accounting method is shown as Accrual or Cash, giving the accountant and Controller context for the view being reviewed.
The important relationship is that accounting preparation begins with the same records used throughout operations rather than a separate year-end dataset.
Sales, purchases, landed costs, inventory, business costs, receivables, payables, bank activity and supporting documents remain connected to their originating records while being organized for accounting review.
Build the operational P&L from connected records
The Overview provides an operational P&L whose figures can be opened into the supporting detail.
It organizes:
- sales and income;
- cost of sales;
- gross profit;
- operating expenses;
- operating result;
- operational balances at the period end.
This view is accounting-preparation context. Its job is to organize the fiscal-period information and its supporting detail for review.
Management analysis of why customers, products, suppliers, sellers or operation types produced a particular economic result remains in true cost and business profitability.
Connect cost of sales to purchases, landed costs, and inventory
Fresh produce cost of sales depends on both product movement and cost context.
SLAKPI organizes cost of sales (COGS) using:
Beginning Inventory + Purchases + Landed Costs − Ending Inventory
The purchases and landed-cost inputs originate in purchasing, supplier control and landed-cost construction.
Inventory context, including the records behind ending inventory, connects back to inventory availability and PO-line traceability.
SLAKPI also captures monthly inventory snapshots automatically and supports an opening-inventory CSV import, giving the accounting-preparation workspace period context for beginning and ending inventory.
The result is a cost-of-sales view that remains traceable to operating information rather than existing only as an isolated year-end total.
Bring period-end receivables, payables, costs, and cash context together
Accounting preparation also needs the financial position at the cutoff.
The workspace brings period-end receivables, payables, unpaid business costs, ending inventory and relevant bank activity into the accounting view.
Those figures come from the operational work performed throughout the year. Their day-to-day creation and reconciliation remain owned by AP, AR and connected finance operations.
SLAKPI uses the resulting period-end position for accounting preparation rather than recreating the operational AP, AR or bank-reconciliation workflow.
Put documents in the period of the transaction they support
Upload date and business period are not always the same thing.
In SLAKPI, the accounting period for a transaction document follows the transaction the document supports. A December receipt uploaded in January, for example, remains associated with December activity.
The Documents view brings supporting transaction files together with general and year-end supplemental documents.
That keeps the accounting review connected to the period the underlying business activity belongs to instead of forcing the CPA to infer timing from file-upload dates.
Give the accountant structured detail and direct review access
An external accountant can be given read-only access to the accounting-preparation workspace, with permission to review the organized information and upload supplemental documents.
The workspace separates information into views for:
- Overview;
- Sales & Income;
- Purchases & COGS;
- Business Costs;
- AR/AP & Cash;
- Documents.
Each area keeps the accountant close to the detail supporting the period-level totals.
Package the year-end information for the CPA
SLAKPI can build an Accounting Package as a single downloadable year-end package.
The package can include:
- a manifest;
- Summary PDF;
- Excel workbook;
- CSV files for the underlying financial and operational categories;
- folders containing supporting invoices, receipts, payment proofs and company/year-end documents.
This gives the business a structured handoff assembled from the same records used during operations.
Preserve visibility when the fiscal year changes after the cutoff
Year-end information can change after an initial cutoff.
SLAKPI therefore keeps the fiscal-year close versioned:
Open → Finalized v1 → Revised v2…
When a finalized year is revised, a change report identifies what moved after the earlier cutoff.
This gives the Controller and CPA a visible relationship between the original finalized version and the revised fiscal-year information.
Complete the Controller journey without merging three different questions
Accounting Preparation is the third stage of the Controller journey.
Operational Finance answers what the business currently owes, is owed, paid, collected and spent.
Profitability answers what the business economically earned from those operations.
Accounting Preparation organizes the fiscal-year information, cost-of-sales context, balances and supporting records needed for year-end accounting work.
For the day-to-day financial lifecycle, return to AP, AR and connected finance operations.
For management analysis of the economic result, return to true cost and business profitability.
Each stage uses connected operational facts, but each solves a different business problem.
